After our initial conversation, I follow up with a recap email and an in-depth questionnaire that set the stage for creating an unforgettable destination wedding. While it may take some effort for the couple to complete, their thoughtful responses demonstrate their genuine interest while providing us with key insights needed to shape a wedding uniquely tailored to them. 

The questionnaire is divided into six sections:

Contact Details: Collect essential information—names, contacts, addresses, passport info—to establish travel logistics and compliance.

Getting to Know the Couple: Delve into their story—how they met, their engagement, what makes them unique. Exploring their personal style, home decor preferences, music tastes, and reasons for choosing a destination wedding ensures the celebration reflects their essence.

Their Travel: Discuss travel preferences—nearest airports, travel dates, length of stay, and any pre/post-wedding plans. Understanding their past international experiences helps craft an exceptional journey.

Guests’ Travel: Gather details on guest counts, departure airports, age ranges, and special needs to ensure smooth travel for everyone.

Their Wedding Day: Explore their vision—preferred dates, ceremony style, cultural or religious elements, decor preferences, and top priorities. Encourage them to dream big: what would they choose if budget were no object?

Additional Details: Finally, we address budget comfort zones and planning trips. Discussing finances might feel daunting, but helps align their vision with reality.

Completing this questionnaire provides me with a holistic understanding of what matters most to them. It allows me to step into their shoes, advocate for their vision, and guide them throughout the planning process, ensuring every moment is tailored to their dreams.

•  Host Location: A suggested resort or hotel with current rates (subject to change until a group contract is secured).
•  Wedding Snapshot: Estimated initial investment and what’s included.
•  Our Planning Collections: An outline of our three levels of planning, complete with pricing.

After the glimpse, I offer a complimentary 45-minute planning consultation. During this time, most couples opt for my top-tier service—Complete Destination Wedding Planning. Together, we explore multiple destinations, refining options. I then join them on a scouting trip to visit their top choices, offering expert insights as we evaluate ambiance, service quality, and every detail to ensure the location aligns with their vision and expectations.

From Vision to Reality: Crafting Experiences Beyond Expectations

Once we've chosen the perfect destination and host venue, I secure a group contract to ensure the best value and terms for everyone involved. Shortly after, guests receive a Save the Date directing them to a personalized wedding website filled with all the details they need.

With 60-90 days to secure their rooms, guests have plenty of time to finalize reservations. As the guest list takes shape, we dive into the finer details—design, décor, logistics, and entertainment—curating an experience that beautifully reflects the couple’s unique love story.

Using insights from our in-depth discussions and their completed questionnaire, I create a Wedding Day Inspiration Guide that captures the desired look, feel, and ambiance. This guide becomes our blueprint, ensuring every detail aligns with their vision. We refine it together before collaborating with local partners to finalize logistics and plan pre/post-wedding events.

It's also about creating a seamless experience for guests. Happy guests are essential to a successful destination wedding. From their arrival at the airport to the warm welcome at the hotel, I strive to build excitement and anticipation. Every welcome cocktail, group dinner, and gathering is intentionally designed to inspire connection, relaxation, and joyful celebration..

July 2024 - Alaia Belize: An Unforgettable Celebration in Paradise

Initial Inquiry: "I was a guest at A & B’s wedding years ago at Papaya Playa Project. That wedding was amazing! Our group of friends has had weddings all over—Italy, South Africa, Costa Rica—but the Tulum wedding was my favorite. I’ve been telling C all about it! We want to create a similar unforgettable experience for our guests and need your help."

M & C chose the new Alaia Resort on San Pedro Island, Belize—the perfect destination for them. The logistics added excitement and unique experiences. Not even Hurricane Beryl could stop this wedding; only two guests canceled. Guests paraded by golf cart from place to place during Lobsterfest. With a significant portion of the couple’s six-figure budget dedicated to guest experiences, the festivities included:
